Information we collect
When you make an enquiry or use our services, we may collect information such as your name, contact details and information about the student for whom tuition or another educational service is being requested.
For students, this may include information such as their school or college, subjects and qualifications being studied, examination specifications, current or predicted attainment, educational requirements, availability and information relevant to planning and providing tuition.
During an ongoing tuition arrangement, we may also keep records relating to sessions, progress, work completed and future areas of study.
We also retain appropriate administrative and financial records relating to the services we provide.
We aim to collect only information which is relevant to providing or administering our services.
How we use personal information
We use personal information where necessary to:
- respond to enquiries and consider whether we can provide a suitable service;
- arrange and provide tuition and other educational services;
- communicate with students, parents and clients;
- schedule and administer sessions;
- maintain appropriate educational and administrative records;
- issue invoices, receive and reconcile payments and maintain accounting records;
- manage and protect our business and services; and
- comply with legal, regulatory, safeguarding and financial obligations.
Mallard Days does not use personal information for email marketing and does not sell personal information to third parties.

Where we rely on legitimate interests, we consider the interests and rights of the people concerned. We take particular care where personal information relates to children.
Children and students
Many of the students who use our services are under 18.
Information about children is used only where reasonably necessary to consider, arrange, provide and administer educational services, or where otherwise required for an appropriate legal or safeguarding purpose.
Where a parent or another person arranges tuition on behalf of a student, we may receive information about the student from that person as well as directly from the student.
We recognise that children merit particular protection in relation to their personal information and take this into account when deciding what information is necessary and how it should be used.
Services we use
We use a limited number of third-party services to operate Mallard Days Educational Services. These currently include:
- Microsoft 365, including Microsoft Forms, for email, enquiries and business administration;
- Microsoft Bookings for scheduling;
- Microsoft Teams for online tuition and meetings;
- Xero for invoicing and accounting;
- Starling Bank for business banking and payments; and
- Hostinger, WordPress, LiteSpeed and QUIC.cloud for operation, security, performance and hosting of this website.
These organisations may process personal information on our behalf, or process information in connection with the services they provide, subject to their own data-protection obligations.
Website content may be temporarily processed or cached by services used to improve the performance, reliability and security of the website.
We may also disclose information where reasonably necessary to professional advisers, insurers, public authorities or others where required by law or necessary to establish, exercise or defend legal rights.
We do not sell or rent personal information.
How long we keep information
Personal information relating to clients and the services provided will normally be retained for up to six years after the end of the client relationship, where this is appropriate for business, legal and record-keeping purposes.
Financial and transaction records may be retained for the periods required by tax, accounting and other legal requirements.
Information which is no longer required will be deleted or securely disposed of when appropriate.
Security
We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse or disclosure.
Where third-party online services are used, information may be processed or stored using their systems and infrastructure.

Mallard Days does not use website analytics or advertising tracking.
The website uses WordPress and associated hosting, caching, security and performance services. These may use cookies or similar technologies which are technically necessary for the website and its administrative, security or performance functions.
Website pages may be temporarily cached by Hostinger, LiteSpeed or QUIC.cloud in order to improve website performance.
The website does not provide public user registration or commenting facilities.
